HPQ and investigators advised to claim conference travel early

With CMC’s 2014 annual conference beginning tomorrow, May 27, we’ve put together a last minute list of items for attendees to consider.

URGENT ADVISORY: Reimbursement Procedure

All Round 1 and 2 investigators and HQP drawing on NCE funds for conference travel must have expenses drawn out of NCE research accounts by the end of June. On June 30, the federal government will claw back any unspent NCE funds (this includes research grant monies and the HQP travel subsidy funds that were deposited to research accounts last fall).

Round 1 and 2 investigators and HQP should file travel claims at their respective universities immediately on return from the conference to ensure claims are processed before the end of June.

Registration and Check In

Rooms at the Banff Centre will not be available for check in until 4 p.m. on May 27. Luggage can be securely stored in the Professional Building until then. Check out must be completed before noon on May 29. Luggage storage is available for conference guests planning to attend Thursday sessions.

To register for the conference proceed to the Max Bell Building. There will be no conference registration desk in the Professional Building.

Conference badges should be worn at all times. These will signal to catering staff working at the Vistas Dining Room and at the Buffet Dinner (held Tuesday evening in the Max Bell Building) that you are part of the CMC Conference.

Parking

Parking at the Banff Centre is free. There is a two-level parkade on site and also parking next to the Professional Development Centre. Overnight guests staying at the Banff Centre will need to provide a vehicle license number when checking into the hotel. Day guests do not need to follow this procedure.

Travel to Banff from the Calgary Airport

We are recommending that conference guests arriving at the Calgary International Airport pre-book travel to and from Banff on the Banff Airporter. CMC delegates receive a 15% discount on the Banff Airporter for shuttle service between the Calgary Airport and the Banff Centre. This brings the price to $50.74 one way (including GST) and $101.48 Return per person (including GST).

Poster Sessions

CMC has received over 100 poster submissions for the 4th Annual Conference. When you register for the conference, you’ll be assigned a number for your poster that corresponds with a number on a poster board. Posters should be placed up on the board before 4 p.m. on Tuesday, May 27 and taken down by noon on Thursday, May 29.

Dress for success!

Mountain weather can change in minutes so prepare for rain or shine. The forecast is for rain with very cool evenings. Dress accordingly.
